Documents for the house sale: the complete checklist
A complete sales dossier sells faster and at a better price. Buyers decide with more confidence, banks approve the financing faster, the notary can draw up the contract without queries. Missing documents are the most common reason for delays between reservation and notarisation.
In brief
- Land register extract, building insurance certificate, plans and service charge statements are the minimum
- For condominiums, regulations, minutes and the renovation fund are added
- For let properties: tenancy agreements and rent roll

Why documents are decisive
The buyer’s bank values the property on the basis of the documents: it wants to see plans, year of construction, renovations and insurance value. If anything is missing, the financing confirmation is delayed – and with it the notary appointment. Buyers, in turn, read a complete dossier as a sign that everything is in order with the house.
For every property
- Current land register extract (not older than 3 months) – shows ownership, easements, mortgage liens
- Building insurance certificate from the Basellandschaftliche Gebäudeversicherung (BGV) with insurance value
- Floor plans, sections and elevations, cadastral plan / site plan
- Building permits and documentation of conversions and extensions
- Service charge and heating cost statements of the last 2–3 years
- Existing mortgage notes (details from the bank)
- Renovation receipts – heating, roof, windows, kitchen, bathroom (also important for the property gains tax)
- Service contracts and warranties (heating, lift, photovoltaics)
- Photos – we take them professionally
Additionally for condominiums
- Deed of constitution and allocation plan with value quotas
- Regulations of the condominium owners’ association and house rules
- Minutes of the last 2–3 owners’ meetings (planned renovations!)
- Annual accounts and budget of the association
- Status of the renovation fund
- Contact details of the management
Additionally for let properties
- All tenancy agreements including addenda
- Rent roll: tenants, net rent, service charges, start of contract, notice periods
- Proof of rental deposits
- Latest service charge statements to the tenants
- Property accounts for the last 2 years (income, maintenance, vacancy)

GEAK – mandatory or voluntary?
The cantonal building energy certificate (GEAK) is, in the canton of Basel-Landschaft, when selling voluntary – unlike in some other cantons. For older houses with fossil-fuel heating we nevertheless recommend it: it shows buyers what energy costs and renovations to expect and builds trust. Cost: from around CHF 500 for a GEAK, from CHF 1,500 with an advisory report (GEAK Plus).

How old may the land register extract be?
For the notary, no older than three months.
- For marketing, an older extract is sufficient
- We order the current extract in good time before notarisation
I no longer have any plans. What now?
The building files are held by the municipality.
- The building department issues copies for a fee
- If plans are missing there too, we have new floor plans drawn up
Do I have to disclose defects?
Yes – known defects must not be concealed.
- Fraudulently concealed defects can lead to liability despite an exclusion of warranty
- Openly communicated defects are taken into account in the price and build trust
